AI is reshaping information management beyond the workplace

IBM’s Cost of a Data Breach Report 2026 places the global average cost of a breach at $4.99 million. Research compiled by WiFiTalents adds another dimension: misfiling a single document can drain roughly $125 in lost productivity, and replacing a lost file may require close to $700 in labor and resources. Together, these figures illustrate some of the practical costs that can arise when information is difficult to organize, locate, or secure.

The conversation extends well beyond the private sector. Public agencies across the United States are also exploring how AI can improve administrative processes that affect millions of residents. According to Code for America’s 2026 Government AI Landscape Assessment, many states are progressing from experimentation toward embedding AI into everyday operations through AI-assisted case management, document automation, and public-facing digital services. 

Those developments also raise a related question: whether some of the information-management capabilities being explored by businesses and government agencies could be adapted for use within households. Families may need to maintain records such as birth certificates, passports, insurance policies, property documents, financial statements, healthcare information, and school records. Depending on the household, these materials might be kept in filing cabinets, email archives, cloud folders, smartphones, or with a relative familiar with their location. Although digital access offers additional storage options, records can still be spread across several places.

The limitations of that arrangement may become clearer when particular documents are needed. Renewing a passport before international travel, providing proof of insurance after an accident, completing school enrollment, or responding to a family emergency can involve locating records within a limited period. Keeping household information reasonably organized and current may therefore make certain administrative responsibilities easier to manage, particularly as documents are received through employers, financial institutions, healthcare providers, and government agencies.

Nathaniel Robinson, founder and CEO of Trustworthy, a technology company focused on household information management, believes this broader transition reflects an opportunity to apply AI where people spend much of their administrative time. His own perspective emerged during an extraordinary day in 2015 when the acquisition of his previous company coincided with the birth of his son. The experience encouraged him to evaluate his family’s preparedness despite having extensive professional experience and resources. “Life milestones invite us to take inventory,” Robinson says. “The important question is whether the information we depend on can support our families whenever those moments arrive.” 

As Robinson spoke with friends, colleagues, and relatives, he found recurring stories about paperwork existing across banks, employers, hospitals, cloud storage accounts, and paper files stored throughout the home. That realization informed Trustworthy’s development of The Family Operating System. It is designed to organize household information continuously instead of focusing exclusively on estate planning.  

With the user’s permission, the platform is designed to identify certain documents in email, arrange records within a household knowledge graph, and flag items that may require attention, including beneficiary details, ownership records, and renewal dates for passports or driver’s licenses. It also provides a resilience score as one way for users to review aspects of their household preparedness. Robinson says future features could include tools for considering options such as insurance comparisons alongside document organization.

For Robinson, the broader value of AI may depend on whether it makes routine administrative work more manageable. “AI can be useful when it helps turn scattered information into guidance that families can act on,” he says. “Having relevant records and context in one place may make it easier to locate paperwork and consider the next step.”

His perspective also considers how recordkeeping practices have changed over time. Filing cabinets and labeled folders remain familiar methods, while many households now receive and store at least some records digitally. Depending on individual habits, those materials may be distributed among inboxes, cloud drives, smartphones, financial portals, and other online accounts.

Robinson views centralized digital organization as one possible response to that changing environment. “Every generation inherits new tools,” he says. “The question is how those tools can be coordinated in ways that are useful in everyday life.”

Information management is therefore relevant across several settings, from workplaces and public services to personal administration. As AI tools are introduced into these areas, their practical role will likely vary according to the information involved, the safeguards in place, and the needs of the people using them.

As these capabilities develop, attention may increasingly turn to how effectively they help people understand, maintain, and retrieve essential information. For households in particular, the usefulness of such tools may ultimately be measured by whether they make specific administrative tasks clearer and easier to manage.
